If you sign death certificates, make sure you are registered to use the Indiana Death Registry System (IDRS).

Last July, state law required all death certificates to be electronically signed and submitted to the Indiana State Department of Health (ISDH). Beginning Jan. 1, the law allowed the ISDH to sanction users for failing to comply with the law. Failure to comply can result in fines from $250 to $1,000, which are not reported to the National Practitioner Data Bank.

Beginning Jan. 1, 2012, all submission of records on births and deaths must be entered into the IDRS electronically by:
  • Funeral directors
  • Physicians/residents
  • Coroners
  • Medical examiners
  • Persons in attendance at births
  • Local health departments

Already this year, the Medical Licensing Board of Indiana has issued a few fines for violations.

In 2010, the ISMA worked with the ISDH to reduce problems with the new registry and to remove the criminal penalty for non-compliance. As a result, the compliance date was moved back a year and fines replaced the criminal charges. Also, the law allows resident physicians to sign death certificates.

“We have had tremendous compliance,” commented Erin Kellam, state registrar for the program. “Things are running smoothly. It was a big change, but the partnership between physicians and the ISDH was crucial.”

Kellam praised physicians for working with the state and submitting suggestions to help improve the system.

Last year, approximately 58,000 death records were filed electronically.
